Our award winning automotive/consumer electronics organisation are looking for an Executive Assistant/Office Administrator to join their rapidly growing team. You will be a forward thinking individual with the ability to communicate at all levels and have a proactive solutions based attitude. This is a brand new position where you will be supporting the technical team in the day to day running of the office and organisation of the senior management team. You will not only be involved in the day to admin tasks but also be heavily embedded with the business needs, working closely with business leaders to support them in running an effective an efficient site.

The successful candidate will also have the opportunity to undertake the Level 3 NVQ Business Administration apprenticeship qualification, therefore this is a great opportunity for someone who is willing to learn and wants to progress.

What will you be doing:

  • Arrange meetings by scheduling appropriate meeting times and booking rooms
  • Manage correspondence by answering emails in order of priority
  • Assist in planning and arranging events from the Christmas party to team lunches/team away days etc
  • Maintain stock lists and order office supplies
  • Interact with directors/management and provide support
  • Create agendas and takes meeting notes/minutes
  • Liaise with Landlords and other external providers to arrange relevant visits when required
  • Acknowledge / action all emails in agreed time frame
  • Purchasing equipment for the Technical team
  • Managing and submitting monthly expenses for the team through SAP Concur online system
  • Assisting the HR Department with the induction process of new technical staff by ordering relevant equipment, completing IT new starter forms and assisting managers with first day inductions
  • Manage building access requirements and passes
  • Arranging travel and accommodation for the directors and business leaders
  • General facilities management
  • Provide cover and assist where necessary
